Booking Information

Holiday Rental Portugal Ltd has the following booking conditions.  These booking conditions become legally binding once you have made a booking on our website. We recommend that you also read our Rental Guide for general guidance on holiday rentals on Portugal’s Silver Coast.

Contract

Holiday Rental Portugal Ltd acts as a booking agent and the contract for renting an apartment or villa via our website shall be between you and the property owner.

Making a Booking

The person making a booking must be at least 21 years old.

You can make a booking through our website by contacting us with your requested property and your required dates. 

Please either use the enquiry box on each property page or if you need help or booking information on several properties to decide which one is right for you, please email enquiries@holiday-rental-portugal.com or use the contact form.

Tell us your dates, the number of people coming and whether they are children, single adults or couples and we will do our best to recommend the best property to suit you for a great holiday on the Silver Coast. To confirm your booking we request a deposit, typically of 20% (or full payment) within 7 days of your reservation date. We accept payments by debit and credit card and bank transfer.

Once you have made your payment we will send you a receipt. We will be in touch again with arrival information and directions and can also answer any questions you may have.

Payment Terms

A deposit typically of 20% is required on confirmation of a booking.  The remaining balance is required 8 weeks before the start of the rental.

For bookings made within 8 weeks of arrival the full payment is due immediately.

Rental Prices

Rentals are priced in Euro and are per property per week or per night as appropriate. If you prefer to pay in Sterling it is calculated at the days rate.

Our pricing is seasonal as follows:
These apply to most of our properties but there are some with different seasonal rates so please check the Rates section on a particular property.

Low Season January 1st – March 31st, November 1st – December 31st
Mid Season April 1st – June 30th, September 1st – October 31st
Peak Season July 1st – August 31st

Included in your stay

Services included in the rental include water, gas for hot water, electricity and pool cleaning. Bath towels and bed linen are included and changed at the end of each week and the house is cleaned at the end of each week.  Additional maid service can be arranged on request as can laundry of pool and beach towels and these are at an extra charge. Our winter and out of season rental rates are excellent value but they do not include central heating. We find that people’s requirements vary and so do the monthly temperatures. We read the gas meter at the beginning and end of your stay and you pay for exactly what you have used.

Additional services include extra beds at €10.00 per night and €70.00 per week. One cot and one high chair will be supplied free of charge upon request, in advance.

Each cot will be supplied with a base sheet, please bring all additional linen required.  Additional cots are €5.00 per night and €30.00 per week.   Additional high chairs are €2.00 per night and €10.00 per week.   All these items are subject to availability.   A grocery pack is available on request. The cost for this is €25.00.  All these additional services are payable in cash on arrival.

Arrival and Property Keys

You must inform us of your estimated arrival time at least 2 days prior to your holiday.

Arrival and departure dates refer to the inclusive number of nights.  Arrival time is from 16.00 and departure time is by 10.00 unless agreed in advance.

Keys are collected from our office or at the property. The full information will be issued to you in the ‘arrival information’ sent out at least 2 weeks before your holiday.

You are responsible for the property keys during your stay. If you lose the keys then we are entitled to charge you the cost of cutting new keys and/or new locks plus other associated costs

Staying at your property

Only the maximum number of persons stated in our property details may occupy a property at any one time, unless otherwise has been agreed at the time of your booking.

Setting up a tent or parking a caravan or motor home on the property grounds is not permitted.

Pets are permitted only in properties that display ‘Pets welcome’ and you must always mention any pets at the time of your booking. Only house-trained or caged pets can stay at a property and the property must be left clean and tidy at the end of your stay. If any additional cleaning is required then we are entitled to charge you for this as appropriate.

Smoking is strictly prohibited in all our properties. If any smoking has taken place at a property during your stay, then we are entitled to charge you for all associated costs for a full house clean and airing.

We are entitled to ask you to leave the property without refund or compensation, if your behaviour causes unreasonable nuisance, damage to the property or danger to others nearby. Neither Holiday Rental Portugal nor the property owner will be liable for any associated costs.

Please make sure you take all your belongings with you at the end of your stay, as we cannot take responsibility for any belongings left behind.

Departure Cleaning

Departure cleaning is included in your stay. We request that you kindly empty the bins and dispose of your rubbish at the large public bins stationed at regular intervals on the road. You can dispose of recycling at the ‘Eco Ponto’ points.

If the property has been left unreasonably dirty or messy then we have the right to charge you for any extra cleaning hours that may be required to meet the high standards of cleanliness set by us and the property owners.

Cancellations

If you cancel your booking more than eight weeks prior to your holiday starting, we will retain your deposit, or 20% of the full booking total if the full payment has already been made.

If you cancel your booking eight weeks or less prior to your holiday starting, we regret no refund is possible.

We advise you to purchase adequate holiday insurance to cover for any eventualities.

Agent’s Right to Cancel a Booking

We reserve the right to cancel your booking if you have not paid your remaining balance by the due date. We will email you a payment reminder a few days before your balance is due and will email you again if your balance remains unpaid on the due date. If we don’t hear from you for a further seven days, we may cancel your booking without further notice. We will not be liable for any loss or damage you may suffer as a consequence.

We also reserve the right to cancel your booking in a force majeure situation that cannot have been foreseen or prevented, or a similar situation that is out of our control. This could be a fire, water damage or similar occurrence that prevents you from staying at the property you have booked. We will offer you an alternative property or refund the full cost of your booking, but will not be liable for any associated costs you may suffer as a consequence.

We have a right to cancel your booking in a rare case where two bookings have been made for the same period at exactly the same time. In such cases, we will check the exact time each booking was made and will cancel the booking that was made last. If we have to cancel your booking, we will of course inform you about this as soon as possible by email and return your payment without delay.

We also have a right to cancel your booking if the property is not available, because the owner of the property has not updated us with his booking in accordance with his obligations. All our property owners are contracted to update us with their dates immediately but if an error has occurred in this procedure and the property is not available, we will of course inform you immediately by email and return your payment without delay.

Accuracy of Details

We take a lot of care with the selection of properties in our portfolio and every reasonable effort has been made to ensure that the details and photographs of the properties on our website are accurate an up to date.

Distances and measurements are approximate. Facilities are as agreed with the property owners and are offered in good faith. No responsibility can be accepted for the climate, the natural or built environment, local conditions, traditions or practices, interruption to or breakdown of any public service and any consequential effect thereof.

Internet & WiFi

Internet access and Wi-Fi is available when stated in the relevant accommodation description. Please note there may be restrictions with the availability and speed of the service transmitted by the local provider and technical issues may cause temporary withdrawal of internet facilities. We are unable to accept responsibility for any down time or consequences of using this service and refund/compensation cannot be offered due to circumstances beyond our control.

Health and Safety

Please check the layout of the property immediately on arrival so that in an emergency you can get out quickly. Parents of small children should inspect the property and its grounds on arrival and note any possible hazards including balconies and swimming pools. Where the property is located close to water, children should be supervised at all times, even if the water is shallow at the shore.

If you have reserved baby equipment such as a travel cot or a high chair, you should inspect that these are in good condition before allowing your child to use them.

Damages

We require a separate Security Deposit of €300 to cover damage, loss or breakages.  You will receive a request to pay this via Paypal and it will be returned via Paypal shortly after your holiday, provided the property is left in the same condition that you found it on arrival.

Complaint

In the unlikely event that you feel cause for complaint during the rental you should inform us immediately and we will do our best to rectify matters. Telephone or come to the address where you picked up the keys. Please be aware that notifying a complaint after the completion of the rental may compromise our ability to consider it.

UK Guests

If you are Resident in the UK you should carry the European Health Insurance Card (contact: www.nhs.uk or 0845 4647 or outside the UK 044 207 2104850) as this confirms your entitlement to medical benefits in kind during your stay in Portugal. The form is available from UK Post Offices. Similar benefits may be available to residents of other countries.

Law and Jurisdiction

Holiday Rental Portugal follows UK laws in all its operations. In case of a dispute, all parties must aim to reach a resolution by negotiation. If a satisfactory outcome is not reached this way, the dispute will be resolved in a UK court. UK law applies to the rental contract.
